General terms when giving to Lund University (GDPR)

It is important to us that you, as a friend of the University, feel safe about us processing your personal data. We have therefore compiled information describing our procedure.

The General Data Protection Regulation (GDPR) entered into force on 25 May 2018. It applies to all those who process personal data in all EU member states.

In the drop-down list below, we have gathered information on GDPR and how the Development Office processes your personal data.

The aim of the GDPR is to strengthen the protection associated with the processing of personal data. Among other things, you are entitled to receive information about how your personal data, and what personal data, is processed.

You also have the right to have incorrect personal data corrected or deleted in its entirety. In addition, the GDPR gives you the option to limit the processing of your personal data.

We are currently reviewing our systems and adapting them to the new regulation. This may affect our mailings regarding events and meetings.

Please note that we need your active consent to continue our relationship with you.

What active consent entails

The Development Office gathers contact information in a database in order to maintain a long-term relationship and communication with you as a friend of the University.

We use the data, for example, to

  • register and distinguish between donations
  • send personal messages, newsletters, event invitations, and
  • inform you of projects to which you may have contributed.

We also use the information to register participation in events. You can choose to unsubscribe from the different mailings at any time.

When donating to Lund University or its affiliated foundations, the information about your contribution is saved in order to complete the donation process. The employees at the Development Office may take notes based on their contacts with you, as well as add relevant documents such as deeds of gift or agreements.

The Development Office will not transfer your personal data to databases or systems outside Lund University, and will never use your personal data for purposes other than those described here.

The Development Office reserves the right to compile the registered information for statistical purposes. This information will be processed in an anonymised state and thus cannot be traced to a particular person.

We never save credit/debit card information.

The Development Office stores the following donor information:

  • name
  • contact details
  • information about the gift
  • information about the donor’s wishes regarding communication and anonymity
  • certain meeting notes
  • and organisational affiliation, i.e. if the donor represents a particular organisation, foundation or company.

A donation is considered an official document. In accordance with the Swedish Archives Act, the University, as a public authority, must preserve official documents.

The University can only destroy official documents in accordance with applicable rules and decisions. Personal data that is not part of an official document must only be stored for as long as required to fulfil the purposes for which it is processed.

In principle, the Development Office stores your contact details for seven years since the last contact, in order to offer you, as a friend of the University, the best possible follow-up.

We need your active consent

Personal data may be processed if supported by a legal basis. Consent is one of the six different legal bases included in the GDPR and the one applied by the Development Office in its relationship with donors.

The GDPR contains certain requirements with regard to the design and use of consent.

  • Consent shall be voluntary. The person whose consent is requested must have the opportunity to decline without being adversely affected. A person must be able to decline as well as withdraw consent.
     
  • Consent must be informed. This means that before a person gives their consent, they must have access to sufficient information as to what the consent entails, what personal data will be processed, the purpose/aim of the processing, and the period of validity of the consent.

    The person must also have received information about how to contact the person responsible, as well as that they have the right to withdraw their consent at any time, request correction, data portability, deletion or limitation with regard to the personal data that is processed.
     
  • Consent must be given explicitly. The person whose consent is requested must explicitly agree to the processing of their personal data.
     
  • The person who gives consent must be able to understand the meaning of the consent.
