Application guide for outgoing exchange students

You can use the SoleMove application system to search for exchange destinations abroad, as well as to create and submit applications for short-term or longer-term exchanges.

Below you will find both detailed instructions and helpful images to guide you through each step of the application process. You can enlarge the images by clicking on them. They will open in a new tab.

Create and complete your application

It is recommended that you use the Chrome, Firefox or Opera web browser to create your application in SoleMove.

This is how you log in and start your application:

  • Go to solemove.lu.se.
  • Select 'Lund University [LU]' from the drop-down list under 'Login'.
  • Select 'LUCAT-SWAMID' from the drop-down list under 'Log in using'.
  • Log in with your student ID. You can log in at any time as long as your student ID is valid.

To be able to start your application, you will need to give your consent to the processing of your personal data (in accordance with GDPR) when you first log in.

If you are nominated for an exchange or other mobility opportunity, your personal data will be shared with your host university/organisation. If you are nominated to a host university/organisation outside of Europe, your personal data will be processed outside the EU.

Once you are in the system, the first thing you need to do is create your application form:

  • Click on 'Application form for outgoing student mobility'. Always choose the first option – do not use the ‘Application form for short student mobility'. This form is not used by Lund University and your application will not be valid.
  • Click on 'New'.

Next, follow these steps: 

  • Select 'S – Study' from the drop-down list under 'Mobility type'.
  • Select an application period from the drop-down list. There are many different options to choose from, so make sure you select the right one. In most cases, you should choose one of your faculty's application periods. However, there are exceptions. For example, the University of California has its own application period. There is also an annual call for summer courses abroad, which is open to all students (called 'Application for Summer Courses Abroad').

You are now ready to start your application.

Fill in all mandatory fields with the required information in the 'Personal data' tab. Mandatory fields are marked with an asterisk (*). 

All pre-populated information is taken from Ladok. Note that you should leave the format of your Swedish personal identity number as it is. It should be in 12 digits without hyphens in the format YYYYMMDDXXXX.

Follow these steps:

  • Enter your personal details.
    • Enter your full name in the 'Full name according to passport' field. If it doesn't fit, you can enter it in the 'Additional information' field at the bottom of the view instead.
    • Enter your phone number in the international format, without spaces, e.g. +46732567890. Use the same format for your in case of emergency contact number. 
  • Check that your pre-populated student email is linked to your most frequently used personal email. This will ensure that you do not miss any important information about your application or from your host university.
  • Select only one nationality, even if you have more than one. You cannot enter information in both the 'Nationality' field and the 'If other, please specify' field. The information in the 'Nationality' field will be replaced by the information entered in the 'If other' field.
  • Click on the pencil icon for 'Name of your faculty'. This will bring up a list of options.
  • Select your faculty from the list. If you don't see your faculty in the list, use the arrow button to move to the next page.

Note that the red 'Missing data' column lists the missing or incorrect data for each tab. As you click on 'Save', this list will become shorter and eventually disappear once all the fields have been filled in correctly. The warning triangle will also disappear from the tab. 

If you are unable to submit your application, it is usually because the phone numbers are in the wrong format.

Next, you need to select the partner university/organisation you wish to apply to in the 'Exchange study information' tab.

Follow these steps: 

  • Click on the 'Add new institution/enterprise' button (do not select 'as freemover').
  • Filter the available destinations by country or use the pencil icon next to 'Institution/Enterprise' to see all options.

Note that the maximum number of destinations that you can apply for varies from faculty to faculty. Only select universities that are available for your degree programme. Check your faculty's application information to see what applies to you.

Now you need to select an exchange programme. There is usually only one option. However, for university-wide agreements, two options may be listed. In this case, select 'Bilateral' or 'Erasmus', depending on which option you see.

When selecting your destinations, you can choose the duration/length of the exchange (semester) for each of the universities/organisations you have selected. Note that not all destinations are available in all semesters. Make sure you check the semester restrictions carefully before submitting your application and choose the correct semester for each destination.

It is not possible to list the same university twice, so if you want to apply to the same destination(s) but for different semesters, you must first select your preferred semester – 'Autumn', 'Spring' or 'Full year' – for that university. You will then need to indicate any additional semester preference for each destination in the 'Additional information' field. You should also motivate this choice in your 'Statement of Purpose'.

You should only add additional semester preferences in the 'Additional information' field if you are interested in an exchange destination for several different semesters, and only if your faculty offers places for those semesters. Otherwise, you should just select one of the semesters, 'Autumn', 'Spring' or 'Full year', and leave the 'Additional information' field blank. 

Don't forget to click on the 'Save' button located just below the 'Additional information' field.

Now you need to fill in some information about your studies at Lund University in the 'Current studies' tab. 

Make sure that you fill in all mandatory fields marked with an asterisk (*).

Follow these steps:

  • Select the subject area that is most relevant to your programme and major in the field 'EU subject area at home'. Your faculty should provide information on this. See their exchange application information.
  • Fill in your programme title under 'Current programme'. If you are not enrolled in a programme, please enter your current course.
  • Enter any of your relevant languages and your level of proficiency in these languages in the drop-down lists under 'Language knowledge'. If you are applying mainly to English-speaking universities, put English first in your language list. You can then add any other languages relevant to the universities you are applying to. If English is not your native language, you can put your native language (e.g. Swedish) at the end of the list.

The next step is to upload your 'Statement of Purpose' (sometimes called a 'Motivation letter') and any other required supporting documents in the 'Enclosures' tab. 

Most faculties also require

  • a CV
  • a study plan for all listed universities, and
  • a transcript of records (from LADOK)

to be submitted with your application.

Note that some universities (e.g. the University of California) also require specific supporting documents, such as a study plan for each campus and a 'campus priority sheet'. Check your faculty's or the University of California's application instructions to make sure you have uploaded all the required documents!

Follow these steps: 

  • Click on the pencil icon next to the supporting document ('Enclosure') you want to upload.
  • Enter a name for the supporting document. 
  • Select the correct file, and click on 'Upload file'.
  • Click on 'Next enclosure'.

Review and submit your application

Check your application carefully. You will not be able to edit your application once it has been submitted, so make sure that all the information you have provided is correct.

If you have completed all the mandatory fields and uploaded all the mandatory supporting documents, there should be no warning triangles left on the other tabs of your application.

The 'Send application' option should now be visible in the 'Check and send application' tab.

Follow these steps:

  • Click on 'Send application' when you are ready.
  • Click on 'Yes' when asked 'You can not edit the application after it has been sent. Do you really want to send the application?'.

The review process for all applications received begins after the application deadline and takes several weeks. 

During this time, you can log into SoleMove and track the progress of your application.

The status 'Application received' indicates that someone has opened your application for review. Once the application has been processed, you will receive an email informing you of the outcome.

Respond to your application result

Once all applications have been reviewed, you will receive an email with the outcome of your application.

Note that you usually have seven days to make a decision, so check your emails regularly to make sure you don't miss the deadline! Once you have received the outcome, your faculty's International Office will continue to process your application and nominate you to one of our partner universities/organisations. This process will vary depending on your faculty and the destination.

If your application has been accepted, you will need to log in to confirm or cancel it.

Follow these steps:

  • Log in to SoleMove and open your application.
  • Click on the new 'Acceptance' tab that has appeared in your application. This will show you which destination you have been accepted to.
  • Click on 'I confirm' to accept the result of your application, or click on 'I cancel my application' if you wish to withdraw your application/reject the result.

Once you have confirmed your exchange, three documents will be automatically generated in the 'Enclosures' tab of your application:

  • Your nomination letter. This can be used, for example, to apply for a grant.
  • An English language certificate. This can be used to demonstrate that you meet the English language requirements. However, please note that some partner universities may require you to take an official English language test.
  • An insurance certificate. This contains Lund University's insurance policy number from Kammarkollegiet (the Legal, Financial and Administrative Services Agency).

You can download and save all documents to your own device.
